INSTRUCTIONS FOR STUDENT AND YOUNG PROFESSIONAL AWARDS

STUDENT ORAL PRESENTATION AWARDS (WILKS AWARD and STUDENT FIELD NATURAL HISTORY AWARD) 

The Wilks Award is presented to the student giving the best oral presentation at the Annual Meeting of the Association.

The Student Field Natural History Award is presented to the student giving the outstanding oral presentation with a substantial field component at the Annual Meeting of the Association. Both awards include $1000 and a certificate. 

Students (including those who received their degree within the last year) who are members of the Society are invited to submit a written summary of research (in the format described below) to the President-Elect, Marsha Williams, mwilliams@uttyler.edu, by 1 March 2026.

The student must also submit online an abstract in standard format (described in the annual Call for Papers) making sure to check the box denoting competition for these awards in combined competition. The abstract and summary may have multiple authors, but the research must be primarily the work of the student (first author), not that of the major professor or other authors. From the submissions, a judging panel will select up to 6 finalists (in aggregate for the two awards) to make oral presentations (15 minutes in length) in the plenary session at the beginning of the Annual Meeting.

An allotment of $250 will be granted to each finalist to help defer travel costs and all finalists are required to attend the annual banquet. The recipients of the Wilks Award and the Student Field Natural History Award will be selected from this group based on the quality of the oral presentation and the significance of the results. The winners will be announced at the annual banquet. Students can win only once in their lifetime the Wilks Award or the Student Field Natural History Award, i.e., any given student can win one award or the other and then cannot compete again. 

Applicants should submit the following as a single four page file (Word or PDF format) by email to mwilliams@uttyler.edu before 1 March, 2026. The document must contain the following sections.

1. Cover page (1 page) with:
a.   Student name.
b.   Student institutional affiliation (where the work was done if the student has graduated), phone number, and email address.

c.   Statement that the research presented is primarily the work of the student.
d.   Indicate whether you would or would not like to receive a set of all available past issues of The Southwestern Naturalist at the annual meeting should you win one of these awards.

2.     Abstract page (1 page) – This page must have the title in both English and Spanish (separated by a slash), and abstract in both English and Spanish. Abstracts are limited to 400 words total for both English and Spanish combined. This is the same title and abstract (both languages) that the applicant will submit online as explained above. Applicants not selected as finalists will present during the meeting regular sessions.

3. Research summary (2 pages) – A synthesis of the research to be presented including introduction, brief methods, results (including any tables or figures), conclusions, and literature cited. This should be single-spaced with an 11 point or larger font.

CLARK HUBBS STUDENT POSTER AWARDS

The Clark Hubbs Student Poster Awards are presented to the student or students displaying the best posters at the Annual Meeting of the Association. The first place award provides a certificate and a money allotment of $600. Second and third place awards provide a certificate and a money allotment of $400 and $300, respectively. Although posters may have multiple authors, the work presented must be primarily that of the student(s) as primary author[s]), not that of the major professor or other authors. A panel of judges will select the winner based on quality of the visual presentation and significance of the results. To compete for this award, students must be members of SWAN and then submit online a standard abstract (as described in the annual Call for Papers), making sure to check the box denoting competition for the Hubbs Award, by the deadline for abstract submission posted in the online annual Call for Papers. Abstracts and posters may be in either English or Spanish.

HOWARD McCARLEY STUDENT RESEARCH AWARD
The Howard McCarley Student Research Fund provides up to eight awards annually, up to $3000 each, to support student research. Applicants must be students (undergraduate or graduate) currently enrolled in an institution of higher education, sponsored by a faculty member, and a member of the Southwestern Association of Naturalists. Awards will be made in support of any aspect of research on biota of the southwestern United States, Mexico, and Central America, except for travel to meetings. Individuals may receive a maximum of two grants from the Association. All qualified students are encouraged to apply, especially those in developing countries.

Only grant applications that adhere to the format described below will be considered. Two letters of recommendation must be submitted in support of the application. One must be from the research advisor and the second from someone familiar with the student's academic career and proposed research project. All materials must be received by the Chair of the Student Awards Committee no later than 1 March each year. Awards will be announced at the Annual Meeting of the Association. Grant applications may be in either English or Spanish.

BRUCE STEWART STUDENT TRAVEL AWARD 

The Southwestern Association of Naturalists is granting student travel awards to help defray travel and meeting expenses for students attending 74th Annual Meeting to be held on 22-25 April 2027 at the Universidad Autónoma del Estado de Morelos at Cuernavaca, Morelos, Mexico. These awards will be given to students currently enrolled in an institution of higher education outside of Mexico who are presenting papers or posters. Students must be current SWAN members, registered for the 74th Annual Meeting, and first author on a paper or poster. Those who have received two Bruce Stewart travel awards previously are ineligible. The deadline for applications is February 1, 2027, and the on-line registration form will be opened on January 1, 2027.

YOUNG PROFESSIONAL AWARD 

The Young Professional Award provides financial support to early-career, non-student members attending the Southwestern Association of Naturalists (SWAN) Annual Meeting. This award fosters mentorship and professional development while easing the cost of meeting participation.

This award aims to support young professionals in roles/positions that do not provide travel funds or sufficient funds to attend SWAN. If you have professional development, grant, or other funds that will cover your travel expenses, please use those funds first.

A total of $15,000 is available for this award, with individual applicants eligible to request up to $3,000 in support for their travel and, if applicable, their student(s).

Eligibility Criteria

Applicants are ideally in the early stages of their professional career (e.g., postdoctoral researchers, assistant professors, professors at institutions with limited funding, agency biologists, non-profit conservation professionals, or similar roles). Preference will be given to applicants within the first 10 years of their career.

The applicant must be a current non-student member of SWAN.

The award supports the applicant’s travel-related expenses and can assist with bringing students (undergraduate and graduate) to the SWAN Annual Meeting (e.g., shared rental vehicle costs or other shared costs).

Students must be current student members of SWAN.

Awardees must make an oral presentation at SWAN.

Awardees must be willing to serve as a judge for the Clark Hubbs student poster competition.

Indication of whether students are making a poster or an oral presentation at the meeting. We encourage all students attending to present, even if it is a research proposal-style poster. However, not all students are required to present, as the committee recognizes it is important to bring students to conferences even before they are ready to present research.

Confirmation that students presenting will apply for either the Bruce Stewart Student Travel Award (if out of meeting county) or the Student Advisory Committee Travel Award (if in meeting county). Presentation is required to be eligible for these.

Instrucciones para Premios Estudiantiles y jóvenes profesionales

PREMIOS A PONENCIA ORAL ESTUDIANTIL (PREMIO WILKS y  PREMIO ESTUDIANTIL DE HISTORIA NATURAL DE CAMPO)

El Premio Wilks se otorga al estudiante que dé la mejor ponencia oral en la Reunión Anual de la Asociación.

El Premio Estudiantil de Historia Natural de Campo se otorga al estudiante que dé la mejor ponencia oral con un componente sustancial de campo en la Reunión Anual de la Asociación. Ambos premios incluyen $1000 US y un certificado. 

Los estudiantes (incluyendo los que recibieron su título el último año) que son miembros de la Asociación están invitados a enviar un resumen escrito de la investigación (en el formato descrito abajo) al Presidente Electo, Marsha Williams, mwilliams@uttyler.edu, antes del 1 de marzo del 2026.

El estudiante también debe enviar en línea un resumen en formato estándar (descrito en la Convocatoria para Ponencias),  asegurándose de marcar el rubro que denota la competencia para estos premios combinados. El resumen y la descripción más amplia de la investigación pueden tener múltiples autores, pero la investigación debe ser principalmente el trabajo del estudiante (primer autor), no del profesor principal o de otros autores. De las solicitudes, un jurado seleccionará hasta 6 finalistas (en conjunto para los dos premios) para hacer ponencias orales (15 minutos de duración) en la sesión plenaria al comienzo de la Reunión Anual.

Se otorgarán $250 USD a cada finalista para ayudar con los gastos de viaje y se requiere que todos los finalistas asistan al banquete anual. Los ganadores del Premio Wilks y del Premio Estudiantil de Historia Natural del Campo serán seleccionados de este grupo en base a la calidad de la ponencia oral y la importancia de los resultados. Los ganadores serán anunciados en el banquete anual. Los estudiantes pueden ganar sólo una vez en su vida el Premio Wilks o el Premio Estudiantil de Historia Natural de Campo, o sea, cualquier estudiante puede ganar un premio o el otro y después no puede competir nuevamente. 

Los solicitantes deben enviar lo siguiente como un sólo archivo de cuatro páginas (formato Word o PDF) por correo electrónico a Marsha Williams, mwilliams@uttyler.edu antes del 1 de marzo del 2026. El documento debe contener las siguientes secciones.

1. Portada (1 página) con:

a. Nombre del estudiante

b. Afiliación institucional del estudiante (donde se realizó el trabajo si el estudiante ya se graduó), número de teléfono y dirección de correo electrónico.

c. Declaración de que la investigación presentada es principalmente el trabajo del estudiante.

d. Indique si desea o no recibir un juego de todos los tomos anteriores disponibles de The Southwestern Naturalist en la reunión anual en caso de que gane uno de estos premios.

2. Página de resumen (1 página): esta página debe tener el título en inglés y español (separados por una barra diagonal) y resumen en inglés y español. Los resúmenes están limitados a 400 palabras en total para inglés y español combinados. Este es el mismo título y resumen (en ambos idiomas) que el solicitante enviará en línea como se explica arriba. Los solicitantes no seleccionados como finalistas se presentarán durante las sesiones regulares de la reunión.

3. Resumen de la investigación (2 páginas): una síntesis de la investigación que se presentará, incluyendo la introducción, los métodos breves, los resultados (incluyendo algunas tablas o figuras), las conclusiones y la literatura citada. Esto debe ser a renglón cerrado con un tipo de letra de 11 puntos o más grande.

PREMIO AL POSTER ESTUDIANTIL CLARK HUBBS
El Premio al Poster Estudiantil Clark Hubbs se atorga al estudiante o estudiantes que presentan los mejores posters en la Reunión Anual de la Asociación. El premio al primer lugar provee un certificado y una suma de $600 US. Los premios al segundo y tercer lugar proveen un certificado y  las sumas de $400 y $300 US, respectivamente. A pesar de que los posters pueden llevar autores múltiples, el trabajo presentado debe ser principalmente del estudiante(s) (autor[es] principal[es]), no el de su profesor o de otros autores . Un grupo de jueces seleccionará al ganador basándose en la calidad de la presentación visual y lo significativo de los resultados. Para competir por este premio, los estudiantes deben ser miembros de SWAN y luego enviar en línea un resumen estándar (como se describe en la Convocatoria Anual para Ponencias), asegurándose de que esté marcado el rubro para competencia para el Premio Hubbs, para la fecha límite anunciada en-línea en la Convocatoria Anual para Ponencias. El resumen y el poster pueden ser en inglés o en español.

PREMIO ESTUDIANTIL PARA INVESTIGACION HOWARD McCARLEY
El Fondo Howard McCarley para Investigación Estudiantil entrega hasta ocho premios anualmente, de hasta $3,000 US cada uno, para apoyar la investigación estudiantil. Los solicitantes deben ser estudiantes (licenciatura o postgrado) actualmente matriculados en una institución de educación superior, auspiciados por un profesor, y ser un miembro de la Southwestern Association of Naturalists. Los premios serán otorgados para apoyar cualquier aspecto de investigación de la biota del suroeste de los Estados Unidos, México, y Centroamérica, excepto para viajes a congresos. Cada persona puede recibir un máximo de dos premios de la Asociación. Todos los estudiantes que cumplen los requisitos están invitados a solicitar, especialmente aquellos en países en vías de desarrollo.

Solamente las solicitudes que se adhieran al formato descrito abajo serán consideradas. Dos cartas de recomendación apoyando la solicitud deben ser incluidas. PREMIO ESTUDIANTIL PARA VIAJAR BRUCE STEWART

The Southwestern Association of Naturalists está otorgando premios para ayudar con los gastos de viaje y de la reunión para los/as estudiantes que asistan a la 74ª Reunión Anual que se realizará 22-25 de abril del 2027 en la Universidad Autónoma del Estado de Morelos en Cuernavaca, Morelos, México. Estos premios se otorgarán a los/as estudiantes actualmente inscritos/as en una institución de educación superior fuera de México que presenten ponencias orales o posters. Los/as estudiantes deben ser miembros vigentes de SWAN, inscritos/as en la 74ª reunión anual y ser primer/a autor/a en una ponencia o póster. Aquellos/as que hayan recibido dos premios de viaje Bruce Stewart previamente no son elegibles. La fecha límite para solicitudes es el 1 de febrero de 2027, y el formulario en línea para solicitudes abrirá el 1 de enero de 2027.

Premio para jóvenes profesionales

Premio para jóvenes profesionales ofrece apoyo económico a miembros que no sean estudiantes y que se encuentren en las primeras etapas de su carrera profesional, para asistir a la Reunión Anual de la Southwestern Association of Naturalists (SWAN). Este premio fomenta la mentoría y el desarrollo profesional, al tiempo que ayuda a sufragar los costos de participación en la reunión.

El objetivo de este premio es apoyar a jóvenes profesionales que ocupan cargos o puestos que no proporcionan fondos para viajes ni recursos suficientes para asistir a la reunión de SWAN. Si dispone de fondos para desarrollo profesional, subvenciones u otros recursos que cubran sus gastos de viaje, le rogamos que utilice dichos fondos primero.

Se dispone de un total de $15,000 USD para este premio; los solicitantes pueden pedir hasta $3,000 USD para cubrir sus gastos de viaje y, si corresponde, los de sus estudiantes.

Criterios de elegibilidad

Lo ideal es que los solicitantes se encuentren en las primeras etapas de su carrera profesional (por ejemplo: investigadores posdoctorales, profesores asistentes, profesores de instituciones con recursos limitados, biólogos de organismos públicos, profesionales de la conservación en organizaciones sin fines de lucro o cargos similares). Se dará prioridad a los solicitantes que lleven menos de 10 años de carrera profesional.

El solicitante debe ser miembro actual no-estudiante de SWAN.

El premio cubre los gastos de viaje del solicitante y puede ayudar a financiar la asistencia de estudiantes (de licenciatura o postgrado) a la Reunión Anual de SWAN (por ejemplo, compartiendo gastos de alquiler de vehículos u otros costos compartidos).

Los estudiantes deben ser miembros estudiantiles actuales de SWAN.

Los premiados deben realizar una presentación oral en la reunión de SWAN.

Los premiados deben estar dispuestos a actuar como jueces en el concurso del premio al poster estudiantil Clark Hubbs.

Animamos a todos los estudiantes asistentes a presentar trabajos, aunque sea un póster de propuesta de investigación. No obstante, no es obligatorio que todos los estudiantes presenten, ya que el comité reconoce la importancia de llevar a estudiantes a las conferencias incluso antes de que estén listos para presentar investigaciones.

Confirmación de que los estudiantes que presenten trabajos solicitarán el Premio Estudiantil para Viajar Bruce Stewart (si se encuentren fuera del país donde se celebra la reunión) o el Premio Estudiantil para Viajar SAC (si se encuentren dentro del país donde se celebra la reunión). Es requisito realizar una presentación para optar a estos premios.
